Terms and Conditions

General information

1. The 6th International Conference of Cell Biology, hereinafter referred to as Conference will be held online at 6th, 7th and 8th of November 2020. 

2. The Organizers reserves the right to change the place of the Event and exclude some spaces from visiting upon prior notification via the website of the Conference.

3. The Conference is an international event destined for students of the first, second and third cycle of studies and Doctors.

4. Participants present their work in English. The main goal of the Conference is to create a place for sharing research results and ideas in the wide field of cell biology.

5. The Conference is organized by the Student Association of Cell Biology at the Jagiellonian University, Krakow, Poland - in these Terms and Conditions referred to as Organizers.

6. Deadlines, the Conference fee, and the Conference place are announced by Organizers.

7. Members of the Scientific Council of the Conference are Professors and Doctors of Science of the Jagiellonian University.

8. All information is available on the website of the Conference: http://www.cell.confer.uj.edu.pl.

Registration

1. Registration for the Conference and abstract submission are held only via the Registration form. 

2. Participation in any activities that require prior registration is not possible without it.

3. Registration deadline: 11th October 2020.

4. There is no limit on the number of Participants. However, if the space is not enough, Organizers has the right to refuse participation in the activity. In this case admission is decided by the order of appearance at the event.

5. Abstract submission deadline: 27th September 2020

6. Organizers reserve the right to change those deadlines.

7. Abstract submission and registration after the deadline will not be accepted.

Conference fee

1. The Conference fee for both active and passive Participants is free. 

2. The Conference fee is set up by Organizers and may vary according to registration time.

3. Fee payment is necessary to become a Conference participant. Nevertheless, Organizers reserve the right to make a single lecture or a part of the Conference open for unenrolled students.

4. Registration fee includes attendance to all Conference’s lectures, seminar sessions, poster sessions and workshops, Conference materials, dinners and coffee breaks, certificate, Abstract Book and after-party event (Organising Committee may arrange it).

5. Resignation from dinners does not lower the Conference fee.

6. Confirmation of payment will be sent to Participants via e-mail.

Invoice

1. Depending on whom the invoice should be issued, as “Invoice data” should be given:

- data of Department/Institute/University etc.

- for example Department of Cell Biology and Imaging, Faculty of Biology, Jagiellonian University, Gołębia 24, 31-007 Kraków, NIP: 675-000-22-36

-The Participant’s personal data (if he wants the invoice to be issued on himself)

2. If an invoice is needed Participant have to fill the “Invoice data” form not later, than on the 25th of April. If the "Invoice data" form will be filed later, it is impossible to receive an invoice.

3. Data provided by the Participant via the “Invoice data” form cannot be changed after issuing the invoice.

4. The only fully safe and proven way to get the invoice is filling the “Invoice data” form. Organizers do not guarantee that an invoice will be prepared if the Participant sends invoice data via e-mail.

5. Jagiellonian University students/professionals that need an invoice issued on their Institution, have to fill in “Invoice data” form. It is crucial, that besides Jagiellonian University, detailed data should be put in: Department and Faculty* of the Participant. The Participant will receive an internal note and on its basis settlement with the University will be executed. A Participant should not pay the Conference fee by himself.

Participation in the Conference

1. The Conference Participant is every person who participates in it.

2. Participants acknowledge that taking part in the Event and access to the buildings and the area where the Event takes place is tantamount to accepting Terms and Conditions.

3. Participants accept the agreed rules of the Conference and its program, agreeing not to influence or alter it.

4. Before entering the Conference, Participants are required to take part in activities related to the confirmation of prior registration.

5. Individuals and organized groups with a supervisor may participate in the Conference.

6. Minors may participate in the Conference only in the presence of adult guardians or parents who are responsible for caring them while participating in the event

7. There is no limitation in the education level for Participants (students are kindly welcome to present their ideas at ICCB2020).

8. There are two types of participation:

- Active

*with an oral presentation

*with a theoretical or experimental poster presentation

- Passive          

9. Only students of the first and second cycle of studies are allowed to present a theoretical poster. Review Poster Session is an opportunity to share ideas mainly for the youngest Participants of the Conference.

10.  Abstract submission deadline: 27th September 2020

11. The maximum abstract length is 2200 characters.

12.  Abstracts must be submitted via abstract submission form according to deadlines announced by Organizers. Organizers do not guarantee that abstracts will be assessed by Scientific Council and included in a book of abstracts if a Participant sends abstracts via e-mail.

13. The Scientific Council evaluates submitted abstracts and decides about their acceptance or rejection.

14.  The date of the abstracts qualification announcement will be published on the website of the Conference: http://www.cell.confer.uj.edu.pl.

15. Certificates of active participation will be handed after oral or poster presentations. Certificates of passive participation will be given to the Participants during his registration at the Conference.

16. Only abstracts of Participants, that paid the Conference fee in time will be included in the Abstract Book.

17. Organizers do not take responsibility for the content of Participant posters and oral presentations.

Presentation details

1. Each participant can give one speech and present one poster as the first author.

2. The bibliography/references must be included in all types of presentations.

3. The time limit for speech is 20 minutes (15 minutes for presentation + 5 minutes for discussion). In justified cases, on Participant request time limit for presentation could be elongated. Mentioned elongation has to be established with Organizers before Conference program fixing.

5. Maximal poster size is A0 and minimal is A2. Participants shall fix their posters in the time indicated by Organizers in the Conference program.

6. Participants who are presenting an experimental poster should prepare a short description (maximum 1 minute) of their poster and be ready to answer Scientific Council member questions. If the Participant will not present the poster it will not be assessed by the Scientific Council.

7. Assessment of Participant performance will be conducted by Scientific Council members.

8. Results of performance assessment will be announced after the last lecture at the Conference.

9. Awards for best oral presentation and for the best experimental poster are predicted. Organizers reserve the right for establishing an honorable mention on the Scientific Council request.

Safety rules

1. Each person participating in the Conference is obliged to read and comply with the provisions contained in the Terms and Conditions.

2. Ignorance of the Terms and Conditions does not release anyone from the need to comply with it.

3. Moreover, each Participant of the Event is obliged to strictly comply with the instructions of the Organizers or people authorized by them.

4. People participating in the Event are obliged to behave in a manner that does not endanger the safety of other people present at the event as well as compliance with health and safety and fire protection regulations applicable in the facilities where the Event is organized.

5. A Participant's violation of any of the provisions of the Terms and Conditions or instructions authorizes the Organizers to exclude this person from participating in the Event.

6. The Participant accepts full responsibility for any damage done by him or persons under his protection at the place of the Conference, especially liability for damages to property or persons being part of the Jagiellonian University personnel. The Participant is also liable to other Conference participants.

7. The Organizers are not responsible for damages resulting from non-compliance with the regulations and failure to comply with the recommendations and orders of staff and services responsible for security by Participants.

8. Participation in the Conference may take place only in designated rooms and areas in accordance with the applicable program and order of the Event. It is forbidden to stay outside the designated area of ​​the Conference.

9. The Organizers are not responsible for items left and lost during the Event and for items left in clothing or backpacks given to the locker room, as well as in other public places in the Event and the Jagiellonian University.

The above regulations apply also to bicycles, cars and other vehicles left at the Jagiellonian University.

9. The Jagiellonian University is entitled to screen luggage and use a metal detector to limit the possibility of bringing dangerous tools into the event area, which is necessary to ensure the safety of the Participants. Lack of consent to carry out the control is tantamount to resignation from participation in the Conference.

10. Participants who take part in the Conference may not own or bring into the area of ​​the Event and the Jagiellonian University:

a) any weapons, ammunition, items considered dangerous (e.g. a knife),

b) explosives, flammable and toxic substances,

c) long umbrellas,

d) animals, except for guide dogs accompanying disabled persons.

11. During the Conference, it is prohibited to manifest worldviews, in particular, political views.

The Organizers prohibit also conducting any commercial, promotional and advertising activities, except in cases where special permission was given

12. Persons intoxicated or under the influence of drugs, behaving in a way that could threaten the safety of other Participants and the Jagiellonian University, disrupt the order of the Event, as well as violate generally accepted norms of behavior in public places are prohibited from entering the event. Conference staff is entitled to order the person mentioned in the previous sentence to leave the Event area.

13. Conference staff in case of disruption of public order by the Participant is entitled to:

a) check the participant’s ID in order to establish his identity,

b) check the contents of the Participant's luggage and clothing, especially in the case of suspicion that the person has dangerous items,

c) call the Participant to act accordingly

d) demand the participant to leave the Conference area and use all available means, including detention until the arrival of the Police, if the Participant despite his previous warning still behaves in a way that violates the safety and order of the Event.

14. In order to ensure security within the Conference area, the Organizers may use monitoring covering the entire event area as well as its individual fragments.

15. The Organizers prohibit smoking, drinking alcohol and taking intoxicants on the premises of the Conference.

16. In case of noticing a threat to the life and health of the Participants, the Participant is obliged to immediately inform about it the Conference staff.

17. The Organizer is authorized to end the Event early in case of a threat to the health or life of the Participants.

Personal Data – notification requirements

According to art. 13 of the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data (...) ("General Regulation"), hereinafter referred to as "GDPR", the Jagiellonian University informs that :

1. The administrator of your personal data is the Jagiellonian University, with headquarters at 24 Gołębia Street, Cracow 31-007.

2. The Data Protection Supervisor, appointed by the University, is based in room no. 5, 24 Gołębia street, Cracow 31-007. The Officer can be contacted in person from Monday to Friday (8: 30 am-3:30 pm) or via e-mail: iod@uj.edu.pl or by phone – 12 663 12 25.

3. Your personal data will be processed for the purpose of the performance of the contract, the subject of which is participation in the 6th International Conference of Cell Biology, as well as the registration preceding it,  pursuant to art. 6 par. 1it. B GDPR,

4. Providing your personal data is a condition for the conclusion and implementation of the contract, i.e. registration and participation in the aforementioned Conference.

5. Your personal data will not be made available to third parties but your personal data in the form of a picture can be recorded on photos or videos from the Event and processed on the websites of the Conference and profiles of the Conference on social networks in a way that allows access of third parties for purposes related to the promotion of the Conference, including the coverage from the event - in accordance with Final Provisions - points 4-5 - of the Terms and Conditions.

6. Your personal data will not be transferred to third countries (outside the European Economic Area) or to international organizations.

7. Your data will be stored for the duration of the organization of the Conference and until the final settlement and the closing of the Conference, and until the expiration of the statute of limitations for claims that may arise from the performance of the contract referred to in point. 3.

8. Your personal data provided in the registration form will be processed until the end of the Event, and then for the period of limitation of claims that may result from participation in the Event.

 Your personal data in the form of an image will be processed as part of the relationship with the event on the websites and social networks profiles of the Organizers until the consent for image processing is withdrawn.

9. You have the right to: access your data and rectify it, delete it (unless further processing is necessary to comply with legal obligations or to establish, investigate or defend claims), limit its processing, transfer such data, object to its processing under the conditions stipulated in “General Regulation”.

In terms of the processing that takes place on the basis of your consent, you also have the right to withdraw consent at any time without affecting the lawfulness of the processing that was carried out on the basis of consent before its withdrawal. The withdrawal of consent may be sent by email to cell@uj.edu.pl.

10. Your personal data will not be subject to automatic decision making or profiling.

11. You have the right to lodge a complaint to the President of the Office for Personal Data Protection if you feel that the processing of your personal data is in violation of the provisions of the General Regulation.

Final Provisions

1. The Organizers reserve the right to cancel the Conference, change its program and formula. Cancellation of the event will be announced on the Conference website. This will not be a reason to pay any compensation, as well as reimbursement expenses incurred to participate in the event.

2. The Terms and Conditions are available to participants on the website http://www.cell.confer.uj.edu.pl., as well as before entering the individual buildings in which the event will take place.

3. The organizers reserve the right to amend the Terms and Conditions, in particular, due to a change in generally applicable law and the need to adapt the regulations to this change, change the program of the Conference or increase the security measures accompanying the event.

The amendment to the Terms and Conditions will come into force upon its publication on the Event's website.

4. The Organizer is going to carry out a photo report from the Conference, for the purpose of promotion and documentary of the Event, which includes photographing and filming the Conference. This data will be processed on the website of the Conference and profiles of the Conference on social networks.

5. Participation in the Event means giving free consent for recording, photographing, filming or other recordings of the participant's image, for the abovementioned purposes.

6. In matters not regulated by those rules, the Organizers decides follow the principles of academic and if their application will not be possible, the generally applicable laws will be applied.

7. The Conference is not a mass event within the meaning of the Mass Events Safety
